At Wray Ward, the Director of Resourcing’s (DR) primary responsibility is to plan and assist with resourcing for all new and assigned projects across the agency.

Acting with an “embedded reporter” mentality, the DR is a member of the Delivery team who collaborates closely with multiple service areas. The DR will employ the philosophy and methodology of the Delivery team attuned to the needs of other agency disciplines. With an eye toward overall department capacity and efficient workflows, the DR will make staffing recommendations to directors and managers to ensure ongoing client work remains on course and on budget. The DR serves as the liaison between Creative, Connections, and Insights teams and the rest of the Delivery team, providing visibility to workload concerns and proactively consulting with project managers. The DR also works directly with Talent Development/HR to determine appropriate outside resources and impending staffing needs based on an aggregate understanding of client and project requirements.

  • Utilization targets are closely met and workloads remain appropriately balanced
  • Service area directors consistently have the necessary information and guidance to proactively plan assignments/reassignments for new or unplanned work.
  • Department directors feel confident that they will have available people lined up for planned work.
  • Business development consistently has the information they need to proactively line up new business with projected utilization gaps.
  • Resourcing solutions are quickly derived and relayed to project managers when unplanned project shifts occur
  • HR consistently has the info they need to proactively hire for projected resource needs.
  • The agency feels confident in the accuracy of Workfront data.

Essential Duties and Responsibilities

  • Maintain constant knowledge of current and upcoming projects as they relate to resourcing and capacity management
  • Be a point-of-contact for internal and external resourcing needs in support of agency and client goals
  • Attend Project Management meetings and facilitate resolution of resourcing issues/conflicts with Project Management team and other relevant team members
  • Manage resourcing forecast reports for the creative team based on input from regularly schedule meetings and the Project Management team
  • Understand department personnel skill sets to better match talent with work assignments to foster exceptional execution and timely delivery
  • Work with discipline leads, Project Managers and other brand team members to identify appropriate resource requirements and provide recommendations for resourcing assignments
  • Attend regularly scheduled meetings with the department directors and Project Managers to discuss all active work and new business to stay informed of workload and potential issues
  • Receive, analyze and report on weekly utilization reports with VP, Director of Delivery
  • Assist and work with department directors to identify freelance and contract resources that meet agency quality standards; participate in the recruiting and hiring process alongside Talent Development.
  • Point-of-contact for indoctrination of agency process for freelancers, contractors and new hires
  • Recommend process improvements for Resource Management
  • Help manage utilization of department or brand teams working to resolve under or over allocations of current creative staff members

  • Listen, prioritize, and organize while being mindful of details and schedules
  • Communicate in a clear, coherent and diplomatic manner
  • Evangelize the role of Resourcing agency-wide, building confidence and understanding of this disciplined approach to assist with workflow and capacity
  • Utilize various communication channels including email, Workfront, Zoom and direct conversation

Qualifications

  • 4 year degree from an accredited college or university
  • 5+ years in a resource management role
  • 3+ years of agency experience required
  • Proficiency with project management and productivity software
  • Highly organized, adaptable and detail-oriented
